Role Purpose:

To oversee and coordinate all phases of residential HVAC installation or replacement projects — ensuring they’re completed on time, within budget, safely, and with high customer satisfaction.

🏗️ Core Responsibilities

  1. Project Planning & Scheduling
  2. • Review job scope, blueprints, and specifications
  3. • Develop project timelines and installation schedules
  4. • Coordinate with sales, design, and installation teams
  5. • Plan equipment delivery and material logistics
  6. Team Coordination
  7. • Supervise installers, technicians, and subcontractors
  8. • Assign daily/weekly tasks
  9. • Ensure compliance with safety and building codes
  10. • Conduct job site meetings and inspections
  11. Budget & Cost Control
  12. • Prepare and manage project budgets
  13. • Track labor, materials, and subcontractor costs
  14. • Approve purchase orders and invoices
  15. • Report variances or cost overruns
  16. Quality & Compliance
  17. • Ensure HVAC systems meet manufacturer specs and local codes
  18. • Oversee testing, start-up, and final inspections
  19. • Manage warranty documentation and quality control checklists
  20. Customer Relations
  21. • Serve as the primary point of contact for homeowners
  22. • Communicate timelines, expectations, and updates
  23. • Handle change orders and service follow-ups
  24. Administrative & Reporting
  25. • Maintain detailed project documentation
  26. • Update CRM or project management software
  27. • Provide progress and performance reports to management

🧩 Key Skills & Competencies

• HVAC systems knowledge (residential split systems, heat pumps, ductless mini-splits, etc.)

• Project management and scheduling (using tools like Buildertrend, Jobber, or ServiceTitan)

• Understanding of building codes and permits

• Strong leadership and communication skills

• Time management and problem-solving ability

• Customer service orientation

🧠 Qualifications

• Education: High school diploma or associate degree; bachelor’s degree in construction management, mechanical engineering, or business is a plus

• Experience: 3–5 years in residential HVAC installation, estimating, or project management

• Certifications (preferred):

• EPA Section 608

• NATE certification

• OSHA 10/30

• PMP or equivalent project management training

  8. • Conduct job site walkthroughs for quality, safety, and progress tracking
  9. • Ensure work complies with local codes, manufacturer specs, and company standards
  10. • Identify and resolve job site issues quickly
  11. Budgeting & Cost Control
  12. • Track project costs (labor, materials, and subcontractors)
  13. • Manage job budgets, purchase orders, and invoices
  14. • Report variances and recommend corrective actions
  15. • Monitor profitability for each project
  16. Customer & Team Communication
  17. • Serve as the main contact for homeowners throughout each project
  18. • Communicate timelines, changes, and progress updates
  19. • Collaborate with sales, design, and service teams to ensure seamless project handoffs
  20. • Manage change orders and ensure customer satisfaction
  21. Quality Assurance & Documentation
  22. • Oversee final testing, system start-ups, and walkthroughs
  23. • Ensure warranty and quality control documentation is complete
  24. • Maintain accurate job records in project management software

• Strong technical knowledge of residential HVAC, plumbing, and insulation systems

• Proven project management and scheduling experience

• Working knowledge of building codes, mechanical and plumbing permits, and safety practices
