Your Role

Office Manager

As our Office Manager, youll greet guests and support the offices overall direction, high-performance and engagement in safety and standard operating procedures that meet or exceed results in product quality, production deadlines, and safety. Youll develop and implement standard operating procedures and company guidelines for efficient workflows. Youll hire, train, coach, and manage the performance of your direct reports. You may also assist with budgets.

What Youll Be Doing

Oversees Customer Service, Administrative Assistants/Receptionists and Billing

1. Sets clear goals for the department and maintains respectful accountability.
2. Makes independent decisions about work priorities and procedures.
3. Provides customer support at all levels and resolves situations.
4. Sets up site surveys and schedules client visits.
5. Prepares quotes, worksheets, and reports as needed or requested (i.e. Unbillable, order log database, manage file/paperwork flow, accounting and customer services reports, customized inventory reports, storage quotes).
6. Coordinates all aspects of jobs and schedules.
7. Reviews job folders for preparation for billing.
8. Project Management, including on-site as needed.
9. Creates and implements processes and procedures.
10. Collaborates with Local GM and Corporate office concerning the management of the locations billing and invoice processing for payment.
11. Performs computerized data entry into Excel spreadsheets or other computer systems.
12. Provides support and collaborates with Sales, Purchasing, Operations, Corporate Office, and customers as needed.
13. Ability to collaborate with others in a team environment.

Team Management

1. Manages and coaches team(s) in specific roles to ensure work is performed to expectations for safety, quality, and production deadlines.
2. May require technical expertise such as maintaining certifications or licenses in order to properly train team members.
3. Gives feedback about performance to job expectations and manages performance including completing performance reviews, hiring new team members, and setting salaries.
4. Ensures processes are being followed.
5. Ensures jobs are being recorded on daily job sheets.
6. Ensures rentals are called off & documented.
7. Works with Dispatcher to get jobs covered.
8. Manages time and attendance for any direct reports.
9. System and team member schedules for start/stop, meal and rest periods, and time-off.

Marginal Functions

1. Attends meetings and trainings.
2. May manage multiple special continuous improvement projects as needed.
3. Maintains and updates files and records and prepares reports.
4. Role models safe team member practices and efficient department standards.
5. Role models TransPak culture and operating procedures.
6. Office and equipment maintenance.
7. Orders office supplies.
8. Implements process improvement.

1. Minimum one year of experience in the individual contributor role.

Preferred

1. Bachelors degree or related/equivalent experience in the field.
